1. Overview of Services

These Terms of Service ("Terms") govern your use of the AI voice receptionist service provided by Arveo Digital ("Arveo Digital," "we," "us," or "our"). By subscribing to or using our service, you ("Customer," "you," or "your") agree to be bound by these Terms.

Arveo Digital provides a software-as-a-service (SaaS) AI voice receptionist designed for home service businesses, including but not limited to HVAC, plumbing, roofing, and electrical contractors. The service includes a dedicated local phone number, an AI-powered voice agent configured to your business, appointment assistance, FAQ handling, emergency escalation, and periodic call reporting.

These Terms apply to the Arveo Digital website at arveo.ai, all subdomains, and all related services, software, and applications.

2. Subscription & Fees

The Arveo Digital service is offered on a month-to-month subscription basis at the following rates:

  • Monthly Subscription Fee: $500 per month, billed on the same date each month following activation.
  • One-Time Setup Fee: $1,500, charged at the time of initial purchase. This fee covers AI configuration, voice model customization, phone number provisioning, and onboarding.

All fees are stated in U.S. dollars. Your subscription begins on the date your AI receptionist is activated and renews automatically each month until cancelled. By providing payment information at checkout, you authorize Arveo Digital to charge the setup fee immediately and the recurring monthly subscription fee on each billing date.

Arveo Digital reserves the right to modify subscription pricing with at least 30 days' written notice to you. Continued use of the service after a price change takes effect constitutes acceptance of the new pricing.

3. Setup Fee & Refund Policy

Setup fee — no refund after AI agent is configured. The one-time setup fee of $1,500 is non-refundable once your AI agent has been configured and activated. Configuration begins promptly after your onboarding form is submitted and is typically complete within 4 hours of sign-up. If you cancel before your onboarding form is submitted and before configuration has begun, you may request a refund of the setup fee by contacting support within 24 hours of purchase.

Monthly fee — pro-rata refund if cancelled mid-month. If you cancel your subscription mid-month after a billing cycle has begun, Arveo Digital will refund the unused portion of the current month's subscription fee on a pro-rata basis, calculated from the effective cancellation date through the end of the billing period. Pro-rata refunds are issued to the original payment method within 5–10 business days.

No refunds are issued for partial months of the setup fee, and no refunds are issued for monthly fees already paid prior to the cancellation month.

4. Cancellation & Termination

Cancellation by Customer. You may cancel your subscription at any time with 30 days' written notice. Notice must be submitted via your client portal or by emailing support@arveo.ai. There are no contracts, no long-term commitments, and no early termination fees. Your service will remain active through the end of the 30-day notice period, after which it will be deactivated.

Termination by Arveo Digital. Arveo Digital may terminate your service with 30 days' written notice for any reason. In the event of termination initiated by Arveo Digital without cause, you will receive a pro-rata refund of any prepaid monthly fees for the unused period following the termination date.

Arveo Digital may terminate your service immediately and without notice if you:

  • Violate any provision of these Terms;
  • Use the service for unlawful, fraudulent, or abusive purposes;
  • Fail to pay any amounts due and fail to cure such non-payment within 7 days of notice; or
  • Engage in activity that poses a risk to Arveo Digital's infrastructure, reputation, or other customers.

Upon termination, access to the service, including call routing to your AI agent, will cease. Call recordings will be retained per our data retention policy and deleted thereafter.

5. Service Delivery & Availability

Arveo Digital will make commercially reasonable efforts to maintain service uptime and AI responsiveness. However, we do not guarantee 100% uptime or uninterrupted service. Scheduled maintenance, carrier network issues, or circumstances beyond our control may result in temporary service interruptions.

The AI voice agent operates using third-party voice AI and telephony infrastructure. Performance of the AI agent — including accuracy of responses, natural language understanding, and call handling — may vary. Arveo Digital does not warrant that the AI will perform without errors, omissions, or delays on any given call.

Arveo Digital strives to activate new accounts within 4 hours of onboarding form submission. Actual activation times may vary based on onboarding completeness and volume.

6. Customer Responsibilities

You are responsible for:

  • Call forwarding setup. Arveo Digital provides a dedicated phone number and configuration guidance, but you are solely responsible for setting up call forwarding from your existing business line to the Arveo Digital number. Arveo Digital is not responsible for calls missed due to incorrect or incomplete call forwarding setup.
  • Accurate onboarding information. You are responsible for providing accurate and complete business information during onboarding. Inaccurate information may affect AI performance. You may update your business details by contacting support.
  • Compliance with applicable law. You are responsible for ensuring your use of the service complies with all applicable laws and regulations, including call recording consent laws in your jurisdiction. In some states, all parties to a recorded call must consent. You are responsible for notifying callers of call recording where required.
  • Account security. You are responsible for maintaining the security of your account credentials and notifying Arveo Digital immediately of any unauthorized account access.
  • Acceptable use. You agree not to use the service for any unlawful, harmful, or abusive purpose, including harassment of callers, fraud, or violation of any third-party rights.

7. Phone Number Ownership

Arveo Digital will provision a dedicated local phone number for use with your AI receptionist. This number is assigned to your account for the duration of your active subscription.

Number portability. If you cancel your service, you have the right to port (transfer) your dedicated Arveo Digital phone number to another carrier of your choosing at no additional charge from Arveo Digital. You must initiate a port request before your service termination date; Arveo Digital cannot guarantee number availability after deactivation. Standard carrier porting timelines apply (typically 1–10 business days). Arveo Digital will cooperate with any valid porting request and provide necessary account information to facilitate the transfer.

If you do not elect to port your number, the number will be released and may be reassigned after your service ends.

8. Limitation of Liability

To the fullest extent permitted by applicable law, Arveo Digital shall not be liable for any:

  • Missed calls, unanswered calls, or calls that fail to connect for any reason, including carrier outages, call forwarding misconfiguration, or AI errors;
  • Lost business, lost revenue, lost leads, or lost customers resulting from service interruptions, AI errors, or call handling issues;
  • Errors, omissions, inaccuracies, or inappropriate responses by the AI voice agent;
  • Indirect, incidental, consequential, special, exemplary, or punitive damages of any kind;
  • Damages arising from your failure to comply with call recording consent laws or other applicable regulations.

In all cases, Arveo Digital's total aggregate liability to you for any claim arising out of or related to these Terms or the service shall not exceed the total fees paid by you to Arveo Digital in the 3-month period immediately preceding the claim.

The service is provided "as is" and "as available" without warranties of any kind, either express or implied, including but not limited to implied warranties of merchantability, fitness for a particular purpose, or non-infringement.

9. Intellectual Property

All technology, software, AI models, voice configurations, branding, and materials comprising the Arveo Digital service are and remain the exclusive property of Arveo Digital. Your subscription grants you a limited, non-exclusive, non-transferable right to use the service for your own internal business purposes during the term of your subscription.

You retain ownership of all business information, call data, and recordings associated with your account. By using the service, you grant Arveo Digital a limited license to use your business information solely to configure and operate the AI agent on your behalf.

10. Governing Law

These Terms and any disputes arising out of or related to these Terms or the Arveo Digital service shall be governed by and construed in accordance with the laws of the State of Florida, without regard to its conflict of law provisions.

Any legal action or proceeding arising under these Terms shall be brought exclusively in the state or federal courts located in Florida, and you hereby consent to the personal jurisdiction and venue of such courts.

You agree that any claim or cause of action arising out of or related to these Terms or the service must be filed within one (1) year after such claim or cause of action arose, or be forever barred.

11. Changes to These Terms

Arveo Digital reserves the right to update or modify these Terms at any time. When we make material changes, we will notify you by email at least 14 days before the changes take effect. Your continued use of the service after the effective date of any changes constitutes your acceptance of the updated Terms.
